Team Collaboration, Sharing & Studio Seats

A comprehensive guide on creating client review links, managing Studio team seats, collaborating across multiple rooms, and using the admin console.

Overview: Collaboration Built for Audio Professionals

Whether you are sending a mix to a singer for vocal notes or managing a 5-room commercial recording facility, Sabes Pro makes sharing and team management straightforward without sacrificing security or privacy.

Part 1: Creating Client Review Links (Zero-Knowledge)

You can send an interactive, browser-based review link to an artist, producer, or client in seconds. The recipient does not need to install Sabes Pro, download any software, or create an account.

How to Generate a Share Link

  1. In the Sabes Pro desktop app, select the project and click on the Take you want to share from the Take Timeline.
  2. In the right-hand action panel, click the blue button: Create Review Link.
  3. In the sharing dialog, configure your review settings:
    • Include Audio Waveform Preview: Check this box if you want your client to listen to the mix directly in their web browser.
    • Enable Time-Stamped Comments: Allows clients to click on the waveform and pin feedback to exact seconds (e.g. "Turn up the guitar lead at 2:14").
    • Passphrase Protection (Optional): Set a private password for sensitive, unreleased music.
  4. Click Generate Protected Link and copy the URL.

What Your Client Sees

When the client opens the link on their laptop, tablet, or smartphone:

  • They see an elegant, light-themed Protected Share Review Page with an interactive audio player and waveform.
  • They can press Play, scrub to any section of the song, type their feedback into the Leave a Review Note box, and click Submit Comment.
  • All submitted comments sync back to your Sabes Pro desktop timeline in real-time, showing you exactly what the client wants adjusted.

Part 2: Managing Studio Team Seats & Organization

The Studio Tier comes with 5 team seats by default and can scale up as your facility grows. Studio seats let staff engineers, assistants, and resident producers work on shared projects under one company billing account. Each member only sees the projects you share with them, never your whole workspace.

Open the Studio Console

  1. Open the Sabes Pro desktop app and sign in to your account.
  2. Pair this device if you have not already: open Settings, go to the account section, and follow the pairing steps. This links the app to your Sabes account.
  3. Click the Team Console button in the top bar. The console opens with four tabs: Overview, Members & Seats, Projects, and Activity.

Connect Cloud Storage First

Team collaboration needs cloud storage so projects can sync between members. In the console Overview tab, click Connect (or go to Settings, then Cloud Storage). Pick a provider and follow the on-screen steps:

  • S3 Compatible (Amazon S3, Backblaze B2, Wasabi, Cloudflare R2): enter the bucket name, region or endpoint, and your access keys.
  • Dropbox or Google Drive: click Sign in with your provider and approve access in the browser.
  • SFTP: enter the host, port, username, and password.

Once connected, the console shows the connection status right away, and your projects are marked as synced instead of local only.

Add a Team Member by Email

  1. In the Studio Console, open Members & Seats.
  2. Click Add member.
  3. Type the person's email address, choose their role, and pick the project they should access.
  4. Click Add member again to confirm.

The seat count updates immediately. Each member only sees the projects you share with them, never your whole workspace. If you are out of seats, the app points you to the seat add-on page.

Inviting Someone Who Does Not Have an Account Yet

You can invite any email address, whether or not the person has a Sabes Pro account. If the email is not registered yet, Sabes Pro creates a pending invitation and gives you a join link to share:

  1. In the Studio Console, go to Members & Seats and click Add member.
  2. Enter the email address and choose a role, then confirm. The invitation appears in the pending list.
  3. Click the copy icon next to the pending invitation to copy the join link, and send it to the person by email, chat, or text.

When the person opens the join link, they sign in or create a free account in seconds, and the invitation is accepted automatically. The shared project then appears on their dashboard with the role you chose. They do not need any paid plan to join a project you share with them, and they can decline the invitation if they are not interested.

Editor vs Viewer Roles

  • Editor: Can browse the Take history, restore and stream project copies, add comments, and create review links for the shared project.
  • Viewer: Can browse the Take history, restore and stream project copies, and add comments, but cannot create review links or change sharing settings.

How New Takes Reach Your Team

After a collaborator joins, you do not need to send them anything manually. When you save a Take, the desktop app uploads the new encrypted backup blocks plus a small metadata update to your cloud storage, and the shared project manifest refreshes. Collaborators who have the project open see the update in real time. Everyone else sees the refreshed Take count and status badge the next time their dashboard loads. All of this is automatic.

Buy More Seats

Your Studio plan includes 5 seats. To add more, go to sabespro.com/account on the website, find the Scale Team Seat Capacity section, choose how many extra seats you need, and click Add Seats to Subscription. The new seat count shows up in your console the next time it refreshes (opening the console or returning to the app after the purchase).

How to Revoke a Seat

If an assistant engineer or freelance producer leaves your facility, you can remove them instantly:

  1. Open the Studio Console and go to Members & Seats.
  2. Find the person in the member list and click the red Remove button next to their name.
  3. Confirm the removal. Their access to every shared project is cut immediately and their seat is freed for someone else.

Part 3: Cross-Room Studio Project Sync

If your studio has multiple rooms (e.g. Tracking Room A, Vocal Booth B, and Mix Suite C), you can keep projects synchronized across rooms:

  1. Set up the same shared BYOS Cloud Bucket (Amazon S3, Backblaze B2, or Wasabi) on the workstations in all rooms via Settings → Cloud Storage.
  2. When Room A finishes tracking drums and presses Ctrl+S, Sabes Pro captures the Take and pushes the encrypted backup blocks to the shared bucket.
  3. The mixing engineer in Suite C opens Sabes Pro, clicks Sync Latest Takes, and the new Take appears on their timeline, ready to be loaded or forked into a mix pass.

Part 4: Facility Admin Console (`/admin.html`)

For studio managers and system administrators overseeing company-wide licensing and audit compliance, Sabes Pro includes a dedicated Admin Console:

Where to Access the Admin Console

Navigate to sabespro.com/admin.html in your browser. Enter your root admin credentials and your 6-digit TOTP two-factor authentication code.

Admin Management Panes

  • Executive Telemetry Ribbon: Real-time overview of total registered studio users, active MRR, seat utilization percentages, and tier breakdowns.
  • User Directory: Search users by email or user ID, inspect active device counts, and perform manual tier overrides (Free, Plus, Lifetime Plus, Studio).
  • Tamper-Evident Audit Logs: Cryptographically linked SHA-256 hash chains securing all administrative actions against tampering.
  • Paddle Webhooks Feed: Real-time event log of subscription creations, renewals, and payment webhooks.
  • Support & Feedback Inbox: Direct intake for user bug reports and attached diagnostics bundles.
  • Email Provider Settings: Configure transactional email relays (Resend, Brevo, SendGrid, or custom SMTP).
